Exhibitor information & webshop

Where can I find information about my stand?

Specifications and an overview of the items included in the different stand types can be found on the Exhibitor page on the ECE Rotterdam 2026 website.

The Exhibitor Manual, which can also be found on the Exhibitor page, contains the main practical information, regulations, build-up and dismantling information, safety regulations and deadlines for your participation.

Where can I order additional materials and services?

Additional materials and services can be ordered through the Expodoc webshop. Depending on your requirements, you can order items such as furniture, AV equipment, catering, internet and other stand-related services.

I have not received my Expodoc login details. What should I do?

The Expodoc login details are sent separately to the designated contact person for your stand.

If you have not received the login details, please check your spam folder. If they are not there, contact exhibitors@ece-rotterdam2026.eu so we can check or resend the details.

Please note that the webshop can only be assigned to one contact person per exhibitor.

Stand design & customisation

Can I customise my stand or replace standard furniture and elements?

The standard ECE stand concept must remain the basis of the stand. However, certain adjustments, additions and upgrades may be possible.

A range of furniture, equipment and services can be ordered through the Expodoc webshop. If you would like to replace or remove standard furniture or another included element, please contact us to check the possibilities.

Please note that removing furniture or other items included in your stand package does not result in a discount or credit.

If you have a specific request that is not available in the webshop, please send us a sketch and a short description. We will then check the possibilities for you.

Can I use my own stand builder?

For the standard ECE stand packages, modifications can only be carried out by the appointed ECE stand builder.

If you have specific requirements, please contact us so we can discuss the possibilities with the stand builder.

For custom-built stands, please refer to the Exhibitor Manual for the applicable requirements and approval procedure. Stand designs may need to be submitted with dimensions and elevations for approval.

Where can I place or mount a screen in my stand?

You can indicate your preferred screen position yourself by providing a simple drawing or sketch. Screens and other AV equipment can be ordered through the Expodoc webshop.

If you require a non-standard position or mounting solution, please include this in your drawing and provide any relevant details. We will then check the possibilities.

Artwork & branding

What branding is included with my stand?

The standard branding elements included depend on your stand package. The printing of the standard graphics included in your package is included in the stand price.

Additional branding options can be ordered separately through Expodoc.

Where do I upload my artwork?

The designated contact person has received a separate email containing the artwork specifications and a dedicated link to upload the artwork.

Please note that artwork cannot be uploaded through the Expodoc webshop or sent by email. Please use the dedicated upload link provided in the artwork instructions.

I have not received the artwork specifications or upload link. What should I do?

First check whether the email was sent to another contact person within your organisation and check your spam folder.

If you cannot find it, please contact exhibitors@ece-rotterdam2026.eu and we will check or resend the information.

The artwork upload invitation is sent separately from the Expodoc webshop login.

Can you check whether my artwork has been received and approved?

Yes. If you have uploaded your artwork but are unsure whether everything has been received correctly or meets the production requirements, please contact us. Our graphics team can check the files.

Electricity, AV & internet

Is electricity included with my stand?

Standard stands include the following power supply:
- 3 x 3 metres: one power supply with two power sockets in total
- 5 x 3 metres: two power supplies with five power sockets in total
- 6 x 6 metres: two power supplies with five power sockets in total

Please check your stand specifications for the exact power setup applicable to your stand.

What if I need additional electricity?

If you are using equipment with a higher power requirement, additional electricity may be required.

Please provide an overview of the equipment you intend to use, including the wattage or kW where possible. This is particularly important for equipment such as refrigerators, coffee machines and other catering equipment.

We will check your requirements and let you know if additional electricity is needed. If so, the required additional power can be ordered through the Expodoc webshop.

Can I bring my own electrical equipment?

Please inform us in advance if you intend to bring electrical equipment that is not part of your stand package or ordered through Expodoc.

Include the type of equipment and its electrical requirements so we can check whether the available power supply is sufficient.

Can I play a presentation or video on a screen ordered through Expodoc?

Yes. Screens available through the webshop have a USB port, allowing presentations and videos to be played directly from a USB stick.

Is Wi-Fi available in the exhibition hall?

Yes. Public Wi-Fi is available in the exhibition hall.

If you need to upload or download large files or require a dedicated or more reliable internet connection for your stand, a private internet connection can be ordered through Expodoc.

Food, drinks & catering

Where can I order food, drinks and catering equipment?

Food, beverages and catering-related equipment and services can be ordered through the Expodoc webshop.

Can catering items still be ordered during the exhibition?

Yes. A limited selection of catering items will still be available for additional orders during the exhibition. These items can be ordered through the Expodoc webshop, subject to availability.

Please note that the selection available during the exhibition may be more limited than the items that can be ordered in advance.

Can I bring my own food or drinks?

It is not permitted to bring your own food and drinks for distribution to guests. Exceptions are made for stand personnel and samples, such as giveaways.

Exceptions and deviations from this rule are only possible with prior consultation and written confirmation from the ECE organising team.

Can I bring my own coffee machine, refrigerator, beer tap or other catering equipment?

Please contact us in advance if you intend to bring your own catering equipment.

We will need to check the equipment and, where applicable, its dimensions, placement and electrical requirements.

How do beer, glassware and bar service work?

Beer, other beverages, glassware and catering services can be ordered through the Expodoc webshop.

If you hire glassware, please note that used glasses must be rinsed by your own stand personnel. If you run out of clean glasses during the exhibition, additional clean glasses can be ordered through Expodoc, subject to availability.

If you require catering staff to serve drinks or assist at your bar, this can also be ordered through Expodoc.

Beer taps and kegs can be ordered through Expodoc as well. For specific requirements regarding your bar setup, please include these when placing your order or contact exhibitors@ece-rotterdam2026.eu.

Exchange Booklet & ECE app

What information do I need to provide for the Exchange Booklet?

Please provide one Word document of no more than one A4 page containing:
- Company name as you would like it to appear
- Address
- Telephone number
- Email address
- Website
- Short company description

Please also provide your company logo separately, preferably in Illustrator or another vector format. If this is not available, a high-resolution JPG or PNG is also accepted.

How do I submit the information for the Exchange Booklet?

The Word document and company logo can be sent by email to exhibitors@ece-rotterdam2026.eu.

There is no separate upload portal required for the Exchange Booklet.

When will the Exchange Booklet be available?

The digital Exchange Booklet will be available from 1 October 2026. It will contain the company information and profiles of participating exhibitors.

In addition, an ECE app will be available, containing the same exhibitor information as the Exchange Booklet, as well as an overview of registered visitors. The app will provide an easy way to browse exhibitor and visitor information during the event.

Gala Dinner

Is access to the Gala Dinner included with my stand?

No. Gala Dinner tickets are not included in the stand package, unless specifically agreed otherwise with the ECE organisation.

Tickets for the Gala Dinner can be purchased separately, subject to availability.

Where does the Gala Dinner take place?

The Gala Dinner takes place at the Laurenskerk:

The Laurenskerk is located in the heart of Rotterdam city centre.

How do I get to the Laurenskerk from Rotterdam Ahoy?

The journey by public transport from Rotterdam Ahoy to the Laurenskerk takes approximately 30 minutes.

The Laurenskerk is approximately a 5-minute walk from Blaak metro (C-line) and train station. The venue is also easily accessible from Beurs metro station (D-line).

Where can I park for the Gala Dinner?

If you are travelling by car, the following parking garages are both approximately a 5-minute walk from the Laurenskerk:
- Markthal Parking Garage
- WTC-Beursplein Parking Garage

We recommend allowing some extra time for parking, especially during rush hours in the city centre.

What is the programme for the Gala Dinner?

The programme is as follows:
- Reception of guests: 19:30 – 20:00
- Dinner: 20:00 – 23:30
- Expected end time: 23:30

What is the dress code for the Gala Dinner?

The dress code is Festive Formal.

Elegant and festive – Black Tie is welcome, but not required.

Visa & Letter of Invitation

Who can receive a visa invitation letter?

Visa invitation letters may be issued to representatives of companies operating within the grain and animal feed industry and with a legitimate interest in visiting the ECE.

Please note that the ECE organisation reserves the right to request additional information about the company before issuing an invitation letter.

Please submit your request well in advance and allow sufficient time for the review and processing of your request.

How do I get a Letter of Invitation for my visa application?

If you require a visa to attend the event, you can request a Letter of Invitation to support your visa application.

First, you must complete your registration for the event by purchasing an admission ticket through the ECE registration website.

Each person attending the event must be registered individually and have their own admission ticket.

After the ticket has been purchased, you will automatically receive an invoice as proof of registration.

What information do I need to provide for a Letter of Invitation?

Once the ticket has been purchased, please inform the ECE organisation by email and provide the following information for each person requiring a Letter of Invitation:
- Name
- Surname
- Gender
- Position
- Date of Birth
- Passport Number
- Passport Expiry Date
- Arrival Date
- Departure Date
- Address

Please make sure that the personal details are entered exactly as they appear in the person’s passport.

When will I receive my Letter of Invitation?

Once the ECE organisation has received and verified the event registration, ticket purchase and required personal information, the Letter of Invitation will be prepared and sent to you by email.

The Letter of Invitation can then be submitted as supporting documentation with the visa application.

Please note that a Letter of Invitation cannot be issued before the event registration has been completed and the relevant admission ticket has been purchased.

What happens if my visa application is refused?

If the visa application is refused and the person is therefore unable to attend the European Commodities Exchange Days 2026, the admission ticket may be cancelled.

In that case, please send a copy of the visa rejection letter, your access ticket and the bank account details to which the refund should be transferred.

Please note that processing the refund may take some time.

Can the ECE organisation arrange meetings with exhibitors or other companies for me?

No. The ECE organisation does not arrange or mediate meetings with exhibitors or other companies.

If you would like to meet with specific companies during the event, you are responsible for making the necessary appointments directly with them.

Financial questions

Why do I have to pay VAT?

As the event takes place in the Netherlands, we are legally required to charge 21% VAT (Value Added Tax) on all services we provide.

Can I receive an invoice in advance?

Unfortunately, it is not possible to receive an invoice in advance.

We use an automated payment system to streamline the payment and invoicing process.

Once you have completed your payment, either via Wero or by credit card, the system will automatically generate and send your invoice.

In this way, you can be sure that all the necessary information has been entered correctly and you can manage your booking(s) yourself.

We are unable to make exceptions to this procedure.

I have made a payment but have not received an invoice. What should I do?

First, please check your spam or junk mail folder if you have not received your invoice shortly after completing your payment.

If the invoice is not in your spam or junk mail folder either, it is possible that the email address provided during the payment process was incorrect or incomplete.

Travel & accommodation

Where can I stay in Rotterdam?

As the event organiser, we have not made any special rates or price agreements with hotels. Hotel reservations and any arrangements regarding rates, availability or cancellation conditions are therefore the responsibility of the individual guest.

Rotterdam Ahoy is located just outside the city centre, but is easily accessible by public transport.

The nearest hotel to the venue is Ibis Styles Rotterdam Ahoy, which is located within walking distance of Ahoy.

Which hotels are suggested?

The following hotels are suggested:
- Ibis Styles Rotterdam Ahoy – 3 stars – approximately 0.2 km from Ahoy
- nhow Rotterdam – 4 stars – approximately 3.3 km
- Room Mate Bruno – 4 stars – approximately 3.4 km
- Mainport Hotel Rotterdam, Curio Collection by Hilton – 5 stars – approximately 4.1 km
- DoubleTree by Hilton Rotterdam Centre – 4 stars – approximately 4.1 km
- ibis Rotterdam City Centre – 3 stars – approximately 4.8 km
- Postillion Hotel WTC Rotterdam – 4 stars – approximately 5.1 km
- citizenM Rotterdam – 4 stars – approximately 5.2 km
- Bilderberg Parkhotel Rotterdam – 4 stars – approximately 5.3 km

Further hotel options can be found on the Rotterdam Ahoy website and through booking platforms such as Booking.com and Trivago.

We recommend booking your hotel well in advance, as high demand for accommodation is expected during the European Commodities Exchange.

How can I get a taxi to or from Rotterdam Ahoy?

A taxi stand is located at the forecourt of Rotterdam Ahoy, where certified taxis from Rotterdam taxi companies are available. During large events, taxis are usually waiting at the taxi stand, so booking in advance is generally not necessary.

If you prefer to book a taxi in advance, you can use a licensed taxi company of your choice. Please make sure you use a certified taxi with the Rotterdam Taxi Quality Mark (RTX).

There is also an Uber pick-up point next to the forecourt of Ahoy. Please check the designated pick-up location when booking.
